How to Declare Your Swimmer & Change Your Volunteer Assignment
- Swim Meet entries open the Sunday prior to the meet and close the Tuesday before the meet at 10:00 pm.
- Volunteer changes can be made Sunday through Thursday prior to the meet.
WHO NEEDS TO DECLARE - EVERYONE!
Even if your swimmer(s) are not attending the upcoming meet, it is very important to make your attendance selection. All entries must be completed by the cutoff time in order to give the coaches and computer-lead time to set-up the meet and communicate our meet roster to the other team. Parents are responsible for entering their swimmer(s) prior to the posted cutoff time each week.
INSTRUCTIONS
Go to the Meets & Events section of the Gator website https://gators.swimtopia.com/
Click on the Meet Entry button for that weeks meet. Your swimmer(s) should be visible.
At the bottom, click on EDIT.
Next to each swimmer there is box that says undeclared, click on that box. You can select “attending” or “not attending”. If you are attending, please click on that option and if you are not attending please click that option.
If you have selected “attending”, the swim events will populate below your swimmers name. Event selections vary slightly by age. For instance, the Individual Medley (IM) is not available for all age groups.
EACH SWIMMER MAY ONLY SWIM IN THREE (3) INDIVIDUAL EVENTS. Click on the box next to the event your swimmer wants to swim.
IF YOU HAVE ANY QUESTIONS ABOUT WHICH EVENTS YOUR SWIMMER SHOULD ENTER, PLEASE TALK TO THE COACHES.
In the area below the list of events, there is a question:
Is [swimmers name] available to swim relays?
There are four options:
- Available for all relays
- Arriving late, not available for early relays
- Leaving early, not available for late relays
- Not available for any relays
Please select one of those options. Even if available for relays, your swimmer(s) might not be in a relay. The relays are generated automatically by the system and reviewed by the coaches.
***Select your relay response with care. If you sign your swimmer up for relays and then they cannot swim those relays for any reason in two meets, it will be up to the meet director whether your swimmer can continue with relays for the rest of the season (including Champs). We are doing this because scratching from a relay after Tuesday's deadline creates havoc for swimmers and volunteers.***
The relays will be posted on the final heat sheet that goes to the team on Friday (so please review the heat sheet when it comes out).
Once you have selected the entries, click the SAVE button. If you do not click the save button, your meet entries will not be recorded.
You may go back and edit your entries up until Tuesday at 10:00 pm, at which time ALL entries must be completed. Parents are responsible for entering your swimmers into the meet.
The coaches will review the entries on Wednesday and make any adjustments. For new swimmers, “--“ or NT means “no time”. After the first meet, each event will have the swimmer's time. Note: Returning Swimmers moving from “10 & under” to the “11-12” age group will have NT since they will be swimming 50’s instead of 25’s.
